## What We Do

Trybus Solutions designs, installs and supports business communications systems. That covers phone systems, meetings and messaging, contact centers, and the technology in meeting rooms.

Most of our work starts for one of a few reasons. A system is coming up on end of support. A carrier or platform contract is up for renewal. An acquisition has left an organization running two of everything. Or a contact center has outgrown what it was built on.

Our clients usually have their own IT team. We are there for the parts that need people who have done this before, and to take the load off a team that already has a day job.

## Why Clients Bring Us In

- **We are not tied to one manufacturer.** We carry a range of technology partners, so what we recommend is not decided by what we happen to sell. If the system you have still fits, we will say so.
- **We have done the migrations.** Our engineers have run cutovers across a lot of sites and industries. A lot of what we bring is knowing which questions to ask early, before they become problems on cutover weekend.
- **One team looks at the whole system.** Calling, meetings, contact center, room technology and the network underneath all affect each other. Having one team across them avoids the gaps that open up between separate vendors.
- **We look at the parts that usually get missed.** Analog lines, fax, elevator and paging circuits, number inventory, carrier contract dates. These are what tend to hold up a cutover, so we go through them during discovery.
- **Design and procurement in one place.** We can design the solution and supply the hardware and licensing for it, and our procurement can work with your purchasing system instead of sitting outside it.
- **We are still there after go-live.** Support is available as a separate agreement if you want it. Plenty of clients keep their own team and use us only for the project, which is fine.

## What You Get

Scope varies. A single-site phone replacement does not need the same documentation as a twenty-site migration with a contact center attached. Below is what we produce on a typical mid-size project. We agree which of it you actually need during scoping.

Everything we produce is yours. If you take the design elsewhere to be built, it will be complete enough for somebody else to build it.

- **Assessment of the current environment:** What is running today, taken from the live system as well as from whatever documentation exists.
- **Requirements document:** What the system needs to do, what regulation requires, and the budget and timeline it has to fit.
- **Recommendation and options:** What we suggest, what else was considered, and the reasoning. Written so it can be taken to a board without an engineer to translate it.
- **Design documentation:** A high-level design on most projects, and a detailed low-level design where the build warrants one.
- **Dial plan and numbering:** Numbering, routing, class of service and the porting plan, worked against carrier lead times.
- **Bill of materials:** Hardware, licensing and services itemized, so procurement is working from real numbers.
- **Project plan and migration schedule:** Stages, dependencies, cutover windows and who is responsible for what on each one.
- **Test plan and acceptance criteria:** What has to work before a stage is signed off. Agreed at the start, so sign-off is a check rather than a negotiation.
- **As-built documentation and handover pack:** What was built, how it is configured, and what your team needs to run it.

## The Systems We Work On

Six areas. Most projects touch more than one of them.

### Phone Systems and Calling

Dial plan and numbering, connectivity to the public telephone network, SIP trunking, session border control, and emergency calling. Cloud, on premises or a mix of both. The questions are much the same either way: how a call gets routed, what happens when a link goes down, and where an emergency call lands.

### Contact Center

Routing and queues, agent and skill design, integration with the systems agents work in, reporting, and call recording where it is required. Contact center is usually the hardest part of a communications project and the part with revenue attached, so we scope it on its own and price it separately.

### Meetings and Messaging

Most organizations end up with more meeting and messaging tools than they need, usually because departments bought separately. The work here is licensing clean-up, external sharing and guest access policy, retention, and moving history across in a way people can live with.

### Meeting Rooms

Room standards by size, audio coverage, displays, cabling, control and scheduling. Standardizing rooms is worth more than building one very good room. Support gets easier, the next set of rooms becomes a purchase order instead of a project, and people can walk into any office and start a meeting.

### Analog and Legacy Endpoints

Elevators, fire panels, overhead paging, gate phones, fax and alarm circuits. They outlive every platform around them and a lot of them are tied to life safety. We inventory them early, because they are the most common reason a cloud calling project stops short of finished.

### Running Old and New Side by Side

Few organizations move everything in one weekend. Most run the old and new systems together for a while, with sites in different states. Planning that period deliberately, so people on either side can still call each other and find each other in a directory, is a large part of making a phased migration work.

## How a Project Runs

Broadly the same shape whether it is one site or forty. Timescales depend on the size of the estate, carrier lead times and how much of your team is available.

- **Scoping and kickoff:** Agree what is in scope, what the deliverables are, who is involved on both sides and how decisions get made. This is also where we set the change process, so a surprise later has a route through it.
- **Discovery:** Sessions with the people who run the system now, plus configuration pulled from the live environment. Discovery usually turns something up. When it changes the scope, we price it and you decide before we carry on.
- **Design and review:** Design documented, then walked through with your team. Better to argue about it on paper than during a cutover. Sign-off here is what the build gets measured against.
- **Procurement and staging:** Hardware and licensing ordered, configured and staged. Lead times are the usual reason a date moves, so we order as early as the design allows.
- **Pilot:** On larger projects, one site or a group of users goes first, with a way back if it does not go well. On smaller ones this stage often is not worth the time, and we will say so.
- **Migration:** Site by site or department by department. Number porting is scheduled around carrier dates, which are outside anyone's control, so the plan is built around the dates we are given.
- **Punch list and handover:** A period of closer support after cutover while the snags come out, then documentation, training for your team, and a decision about what happens to the old system.

## What Is Quoted Separately

Most of what is below is work we do. It is not part of a communications project by default, because each piece carries its own scope, its own schedule and its own cost. If you want any of it included, say so at scoping and we will quote it in. The last one is different: it is work we do not do at all.

- [Structured cabling and pathways. We do not pull cable ourselves. We survey what is there, specify the pathways, containment and links the design needs, and bring in the cabling partners we work with to install it against that specification. - **Carrier service and calling plans.** We design and configure the connection to the telephone network, but we do not become your carrier. Numbers, minutes and the bill for them stay with your provider.
