## What We Do

Trybus Solutions designs, installs and supports meeting rooms, conference room AV and video conferencing for organizations in Alaska. That covers room standards by size, cameras, microphones and speakers, displays, room control and scheduling, the meeting platforms behind them, and the network they run over.

Most of our work starts for one of a few reasons. Rooms built one at a time no longer work the same way in any two of them. Room computers have reached end of support, as many running Windows 10 did in October 2025. An organization has standardized on a meeting platform and the rooms have not followed. Or a new building is being fitted out.

In Alaska, video is often how a statewide team meets, how a board with members in several communities holds its meetings, and how staff in different facilities consult each other without a flight. A room in Anchorage and a room at the far end of a satellite link have to join the same meeting, and the design has to account for the difference between them.

We work nationwide from Chattanooga, Tennessee. Our clients usually have their own IT team, and we are there for the parts that need people who have done this before. The wider scope of our [collaboration, unified communications and meeting room work](https://trybussolutions.com/collaboration-unified-communications/) is set out on its own page.

## Why Alaska Organizations Bring Us In

- **We are not tied to one manufacturer.** We carry a range of technology partners, so the equipment in a room is decided by the room and the platform you meet on. If what is installed still fits, we will say so.
- **Standard rooms instead of one-off rooms.** We define a small number of room types by size and use, and build every room as one of them. The next room becomes an order rather than a design project, and someone visiting from another office already knows how it works.
- **We design for the link at each end.** Video uses more bandwidth than voice and suffers from the same delay. We check what each site link can carry during the busiest part of the day, and set meeting quality and traffic policy to match.
- **We stage rooms before they ship.** Displays, cameras, audio and control are configured and tested together before they travel, so the visit to a remote site is spent installing and testing. Rooms are set up to be managed remotely afterwards.
- **We look at the room as well as the equipment.** Room shape, glass, ceiling height and background noise decide what audio a room needs. Audio is usually the hardest part of a room to get right, so we survey before we specify.
- **We are still there after go-live.** Room devices can be monitored and updated remotely under a separate agreement, so a fault is found before a meeting starts rather than during it.

## What You Get

Scope varies. One boardroom does not need the documentation a room standard for thirty offices does. Below is what we produce on a typical mid-size project, and we agree which of it you need during scoping.

Everything we produce is yours. If you take the design elsewhere to be built, it will be complete enough for somebody else to build it.

- **Room inventory:** Every room, its size and use, what is installed, and how it performs on a test call.
- **Room standards:** A small set of room types, each with its equipment list, layout, cabling and control.
- **Recommendation and options:** What we suggest, what else was considered, and the reasoning, written so it can be taken to a board without an engineer to translate it.
- **Room designs and drawings:** Equipment placement, camera and microphone coverage, display sizing and cable routes for each room.
- **Network requirements:** Bandwidth and traffic policy for each site, checked against what its link can carry.
- **Bill of materials:** Hardware, licensing, spares and services itemized, so procurement works from real numbers.
- **Test plan and acceptance criteria:** Test calls between sites, and what has to work before each room is signed off.
- **As-built documentation and user guides:** What was installed, how it is configured, and a one-page guide for each room type.

## The Systems We Work On

Six areas. A room project touches all of them.

### Room Standards

Room types by size and use, from a two-person huddle space to a boardroom or a training room, each with a defined equipment list, layout and cabling.

### Audio

Microphone coverage, speakers, echo cancellation and the room acoustics underneath them. Audio decides whether remote participants can follow the meeting, so coverage is designed for the seats people actually use.

### Cameras and Displays

Camera placement and framing, display size for the viewing distance, and content sharing from a laptop or from the room itself.

### Platforms and Interoperability

The meeting platforms your organization uses, and joining meetings hosted by others. Boards, agencies and partners do not always use the same platform, so we plan for rooms that can join more than one.

### Control, Scheduling and Signage

Touch panels, room booking, occupancy information and the signage outside the room.

### Device Management

Updates, health monitoring and troubleshooting from a central console, so rooms at remote sites can be supported without a visit.

## How a Project Runs in Alaska

Broadly the same shape whether it is one boardroom or a room standard across a region. Timescales depend on hardware lead times, freight and building access.

- **Scoping and kickoff:** Agree what is in scope, the deliverables, who is involved and how decisions get made, including any funding rules that apply to the equipment.
- **Discovery and room survey:** Rooms reviewed remotely from photos, drawings and test calls, then surveyed on site where the room itself decides the design.
- **Design and review:** Room standards and room designs documented, then walked through with your team and the people who run meetings in them.
- **Procurement and staging:** Equipment ordered, configured and tested together before it ships, with freight time in the schedule from the start.
- **Installation:** Equipment installed against the design, with cabling by the cabling partner where new pathways are needed.
- **Testing between sites:** Test calls between rooms and sites, run against the acceptance criteria agreed at the start.
- **Handover:** Closer support while the snags come out, then documentation, user guides and a short session for the people who book and run the rooms.

## What Is Quoted Separately

Most of what is below is work we do. It is not part of a room project by default, because each piece carries its own scope, its own schedule and its own cost. If you want any of it included, say so at scoping and we will quote it in. The last one is different: it is work we do not do at all.

- [Structured cabling and pathways. We do not pull cable ourselves. We survey the building, write the specification and coordinate the cabling partners who install against it, then check the results before the switching goes on top.](https://trybussolutions.com/networking-connectivity/)
- [Network readiness. If a site link or the local network cannot carry video, that is a network project with its own scope. We will tell you during discovery.](https://trybussolutions.com/alaska/network-wifi-sd-wan/)
- [Ongoing room management. Monitoring, updates and troubleshooting for room devices are a separate agreement with their own service levels.](https://trybussolutions.com/alaska/managed-it-services/)
- **Travel and freight.** Site visits and shipping are itemized on their own, because they depend on where the rooms are and when the work happens.
- **Construction and furniture.** Building work and millwork are for your facilities team or their contractors. We specify what each room needs from them.

## Who We Work With in Alaska

Rooms look much the same from sector to sector. Who is on the other end of the call is what changes.

### [Tribal Health and Tribal Government →](https://trybussolutions.com/tribal-organization/)

Council and board meetings with members in several communities, and training delivered across a region.

### [Hospitals and Clinics →](https://trybussolutions.com/healthcare/)

Meetings and training across facilities, in rooms that also have to respect clinical privacy.

### [Boroughs, Cities and State Agencies →](https://trybussolutions.com/public-sector/)

Public meetings with remote participation, assembly chambers and training rooms.

### [Alaska Native Corporations →](https://trybussolutions.com/enterprise/)

Board rooms and subsidiary offices in several states, brought onto one room standard.

## Technology We Work With

We hold partner relationships across the meeting room and video industry, and our engineers also work in platforms we do not sell. A project starts on whatever is in your rooms now, whoever supplied it.

We do not publish comparisons between manufacturers. Which platform suits an organization is something an assessment works out, not something a website should decide.
